Dynamic Coworking Spaces operates this website and member service from the 1st Floor of Temani Business Center, Mathigu Road, Ruiru, Kenya. This policy explains how information is handled when you browse, sign in, book workspace or contact us.
Information we collect
Member accounts hold your email address, name, optional phone number and billing details. We record bookings, planned and attended visits, payment amounts and transaction references, invoices, workspace credits and any optional member-programme activity. We also keep administrative changes and sign-in security records. We do not ask for your M-Pesa PIN, email password or bank login credentials.
Why we use it
We use this information to verify sign-in, manage workspace access, match payments, provide receipts, answer enquiries, resolve disputes and protect accounts. Service messages, including sign-in codes, are part of operating your account. They do not subscribe you to marketing.
Payments and receipts
M-Pesa payments use Paybill 542542 / Account 82078, provided through I&M Bank Kenya. Staff confirm receipt against the collection records. Sending a transaction reference through the website does not itself prove payment. Confirmed payment records are shown in the member account. Receipt PDFs are generated on your device; downloaded copies are under your control.
Where records are held and who can access them
Member records are held in a restricted Google Sheets workbook. Google Apps Script handles the records service and sign-in emails; Vercel hosts the website and connects it to that service. Authorised Dynamic staff can access records needed to manage the business. Signed-in members can access their own account records. Hosting and email providers may process technical information such as connection details and service logs. These providers may process information outside Kenya; the relevant service arrangements and safeguards must be assessed as part of our data handling.
Cookies and browser features
The member service uses a secure session cookie to keep you signed in for up to eight hours. Signing out invalidates the session. The site does not currently include advertising trackers or marketing analytics scripts. Your browser may retain autofill information. Any additional analytics or marketing tools will require this notice to be reviewed.
Enquiry forms, events and external links
The public booking-planning and partnership forms currently prepare an enquiry on your device; they do not save those form entries to our server. A text-message link opens your messaging app, and you choose whether to send it. Event registration may use Google Forms, which collects the information you submit. Google Maps and social links take you to third-party services with their own privacy practices.
Email updates
The newsletter is not currently collecting subscriptions. We will provide a clear opt-in and a way to unsubscribe before activating it. Member registration or a workspace purchase will not automatically add you to a newsletter.
How long we keep information
We keep information only for the purposes for which it is needed, including service delivery, accounting obligations, security and resolving disputes. A code expires after ten minutes and a session after eight hours; expiry is not the same as deletion from the workbook. Automatic removal of old authentication records is not currently implemented. Account and payment records remain until an authorised retention review and deletion process is carried out.
Your choices and requests
You can update your name, phone number and billing details in My details. You may contact us to request access to or correction of your personal information, ask about deletion, or raise an objection to its use. Some records may need to be retained for applicable obligations or legitimate unresolved matters. We may verify your identity before acting on a request. You may also raise a concern with Kenya’s Office of the Data Protection Commissioner.
